Open house sign-in questions
- What should an open house sign-in sheet include?
- Each visitor's name, email and phone number, and whether they're working with an agent. That last answer tells you who to follow up with yourself and whose agent to contact. Put the listing address, the date and your name at the top, so the sheet still makes sense a week later.
- How many visitors fit on one sheet?
- Seven. Each visitor gets two lines: name and phone, then email and whether they're working with an agent, so a long email address still fits.
- What if more than 7 visitors come?
- Pick more pages before you download. Each page continues the numbering, and the QR version puts the code on every page.
- Is there a Word or Google Docs version?
- Yes. Download the Word file and edit it in Word, or upload it to Google Drive and open it with Google Docs. The PDF is ready to print as is.
- Paper or digital sign-in: which is better?
- Paper is the fastest to set up and works without Wi-Fi, but handwriting can be hard to read and every entry has to be typed up afterwards. Digital sign-in gives you clean, legible contacts, but some visitors won't use their phone. Many agents put out the paper sheet with a QR code on it, so visitors can do either.
- Can visitors sign in on their phone?
- Yes. Turn on "Add a QR code" above and confirm the email we send. You get a QR code for the sheet and a private page with every sign-in and a CSV. Visitors scan it and fill in a short form, and their details come to you by email after the open house. We never contact your visitors, and we delete their details after 12 months.
- How do I get visitors to sign in?
- Greet each visitor at the door and hand them the clipboard before they walk through, instead of leaving the sheet on a table. Tell them what they get for it: the listing details, and a heads-up if the price changes. Ask every visitor the same way.
- What should I do with the sign-ins after the open house?
- Follow up the same day or the next, while the visit is fresh: thank them, answer what they asked and share anything new on the listing. Visitors who are working with an agent are that agent's clients, so contact the agent rather than the buyer. Check your brokerage's rules before adding anyone to an email or text list.
- Can you require visitors to sign in?
- It depends on your state, your MLS, your brokerage and the seller's wishes, so check your brokerage's policy first. Whatever the rule, apply it to every visitor the same way: the Fair Housing Act and the REALTOR® Code of Ethics both require equal treatment, so asking some visitors for ID or details and not others can lead to a complaint. Many agents ask everyone to sign in but don't make it a condition of entry.Sources: HUD: Fair Housing Act overview · NAR Code of Ethics, Article 10
- Do visitors have to sign a buyer agreement at an open house?
- No. Under NAR's guidance, an agent hosting an open house for the seller doesn't need a written agreement with the buyers who tour it. The agreement comes when a buyer starts working with an agent, before their first tour together. Some states add their own disclosure rules, so check yours.Sources: NAR: Consumer guide to open houses and written agreements
- How do I keep visitors' details private?
- Don't leave the sheet face up where the next visitor can read earlier entries: use a clipboard and turn the page, or keep it at your table. Once you've entered the contacts, store or shred the paper, and only use the details to follow up on this listing.
- Is this sign-in sheet really free?
- Yes. There's no sign-up and no watermark. Print as many copies as you need.
- Will it print in black and white?
- Yes. It's one US Letter page in soft neutrals, so it looks the same from a color printer or a black-and-white one.
